Christmas Gifts for Employees: The Dates, the Tax, and What Actually Gets Used

December gifting fails for reasons that have nothing to do with taste. The list is out of date, half the team is remote across four states, finance wants the spend inside this fiscal year, and whoever owns it discovers in mid-November that branded work needed deciding in October. Then a gift card gets bought, because a gift card can be sent on Tuesday.

This is a guide to the parts that actually go wrong: the calendar, the tax, the addresses, and the difference between a gift that gets used and one that gets regifted.

The dates, worked backwards

Christmas Day 2026 falls on a Friday, and most offices thin out from the week of the 21st. Working backwards from a gift that lands while people are still around, these are our real 2026 cut-offs:

  • Custom-branded — order by Friday, November 20. Branding adds 7 to 14 business days of production before packing even begins, and the clock starts at artwork approval rather than at order. This is the date that catches everyone.
  • Non-branded, shipped nationwide — order by Monday, December 14. Packed within 72 hours, then one to five business days on tracked ground.
  • Non-branded, 50+ boxes hand-delivered in Southern California — order by Friday, December 18. Free hand delivery on the day packing completes, inside our six-county footprint.

There is no paid rush lane and no overnight option, so a date you have already missed cannot be bought back. If you are reading this in November and you wanted branding, the honest answer is that unbranded now beats branded late — and the logo belongs on the box rather than the gift anyway.

The gift card trap

Under December pressure, the gift card looks like the rational choice: no sizing, no taste risk, no address problem, and it can be emailed. Two things it also is.

First, it is taxable wages to the employee — always, with no small-amount exception, because cash equivalents do not qualify for the de minimis fringe benefit exclusion. Second, it reads as what it is. The recognition value of a card is roughly its face value, which is why a $50 card in December lands flatter than a $50 box. If the intent is flexibility, run it through payroll as a bonus and say so plainly. That is a good thing to do. It is not a Christmas gift.

The address problem, which is really the whole problem

For a distributed team, December gifting is an address-collection project wearing a gift's clothing. The list in your HRIS is a year old, people have moved, and whoever owns the send spends the busiest fortnight of the year chasing a hundred and forty people on Slack while doing their actual job.

Two things fix it, and both are cheaper than the chase:

Ship to individuals, not to the office. A box delivered to a desk in the week everyone leaves is a box that sits there until January. We do not charge extra handling for individual addresses — most of our orders work that way.

Let people give you their own address. Send each person a link, let them pick the box they want from a set you approved, and let them type their own delivery details. It solves the address problem and the taste problem in the same motion, and their choices appear in your portal as pending until we ship.

What actually gets used

The December failure mode is a box of things nobody chose, arriving in a month already full of things nobody chose. What survives the pile:

  • Consumables over durables. Food and drink carry no obligation. A branded item has to earn shelf space, and in December it usually does not.
  • Household, not desk. The gift arrives at home during the one week people are actually at home. Something the household uses beats something for a desk they will not see for a fortnight.
  • Alcohol-free available and labelled. You do not know who is pregnant, in recovery, on medication, or simply does not drink — and December is the month companies most reliably get this wrong.
  • Heat-safe where it matters. Less of an issue in December than July, but a chocolate-heavy box going to Phoenix still deserves a thought.
  • A note with a name in it. The single cheapest upgrade available. A line naming what the person did, signed by someone who knows them, outperforms anything you can add to the box.

Holiday-neutral is usually the better call

Not everyone on your team celebrates Christmas, and the ones who do not notice immediately when a company assumes they do. A box built around winter rather than around a specific holiday sends to everyone without singling anyone out — and it has the practical advantage of shipping across a wider window, since it does not need to land on the 24th to make sense.

Most of the difficulty above comes from deciding everything in the same six weeks that everything else is due.
